Privacy & cookie policy

This policy explains what personal information Cobalt collects, why we collect it, how we look after it and the choices you have. It covers this website, enquiries you make with us and your membership if you join.

Who we are

Cobalt (formerly Suffolk Strength Academy) is a private members gym at Unit 7, Yale Business Park, Central Ave, Ipswich IP3 9RR. Cobalt is a trading name of Suffolk Strength Academy Ltd, registered in England and Wales under company number 09205482.

If you have any questions about this policy or your information, email info@cobaltgym.com or write to us at the address above.

What we collect and why

When you enquire

When you fill in our “I’m interested” form, we collect your first name, last name, email address and, if you give it, your mobile number. We use these to reply to your enquiry, arrange your consultation and assessment, and follow up with you about getting started. If you contact us by email, phone, WhatsApp or social media, we keep a record of that conversation for the same reason.

Our lawful basis is our legitimate interest in responding to people who ask about our services, and taking steps at your request before entering into a contract with you.

Emails about our services

After you enquire, we may email you about your enquiry and about similar services we offer. Every email includes a link to unsubscribe, and you can also ask us to stop at any time. We will never sell your details or pass them to anyone else for their own marketing.

When you become a member

If you join, we also collect your contact and emergency contact details, payment and billing information, attendance records, and your training programme and progress. We need this to provide your membership and coaching (contract) and to meet our legal and accounting obligations (legal obligation).

Health information

To coach you safely, your physical assessment covers your health, medical history, injuries and any physical limitations. This is special category information, so we only collect it with your explicit consent, which you give at your assessment. We use it only to plan and adapt your training, share it only with the coaches who work with you, and you can withdraw your consent at any time. If you do, we may not be able to coach you safely.

Reviews

Our testimonials page shows reviews members have posted publicly on Google, with the reviewer’s first name and Google profile picture. We show these because of our legitimate interest in sharing what members say about us. If one of them is yours and you would like it removed, email us and we will take it down.

Visiting our website

Our web host automatically records basic technical information when you visit, such as your IP address, browser type and the pages you request. This is used to keep the site running securely (legitimate interest) and is not used to identify you.

How long we keep it

  • Enquiries: up to two years after our last contact with you, unless you become a member.
  • Membership and payment records: for as long as you are a member and then for six years, to meet accounting and legal requirements.
  • Health and assessment information: for as long as you are a member and up to two years afterwards, unless you ask us to delete it sooner.
  • Marketing emails: until you unsubscribe. We keep a note that you have unsubscribed so we don’t contact you again.

Keeping it safe

We use reputable, secure systems and limit access to your information to the people at Cobalt who need it. This website is served over an encrypted (HTTPS) connection.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct anything that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict or stop using your information, including objecting to anything we do on the basis of legitimate interests;
  • ask for information you gave us to be transferred to you or another organisation;
  • withdraw your consent at any time, where we rely on it;
  • unsubscribe from marketing emails at any time.

To use any of these rights, email info@cobaltgym.com. There is no charge, and we will respond within one month.

The only cookies on this site are set by Google reCAPTCHA when our enquiry form loads. They are strictly necessary to protect the form from spam and abuse, so they do not require your consent. You can block or delete cookies in your browser settings, but the enquiry form may not work without them.

If we add analytics or other optional cookies in future, we will ask for your consent first and update this policy.
